Overall views and details
Prepare overall views of the vehicle and closer photographs of marks you want to explain. Use enough light and make the relevant area identifiable. Blur or reflections hiding a mark may require another photograph; do not assume photographs alone establish the cause of a condition.
Exterior areas you observe
Describe the location of known marks, such as a panel or bumper, in terms that can be matched to a photograph. If you are unsure whether something is a mark, dirt or reflection, state that uncertainty. Ask the operator how observations are recorded at handover.
Interior and items handed over
Keep relevant notes about interior condition and items the operator confirms will be handed over. Avoid photographing unnecessary personal documents or account details. Ask how keys, accessories and relevant condition details are recorded for your actual arrangements.
Review at collection
Refer to the handover record when reviewing condition at collection. If there is a difference, record your observations and request reporting instructions before assuming a cause or claim outcome. Your photographs support the discussion; they do not replace the agreed records or terms.
